After you assigned the shipment to your driver/carrier, it goes from Uncovered Shipments to Active Shipments.
Main Tab
Here you can see the main information about the load.
🧠 You can quickly access driver's current location with one click of the pin icon.
On this tab, you also have multiple filters that you can use for the convenient tracking of the shipments you're currently hauling.
Filter loads by Shipments Status if you need to separate stops from each other. Let's say, you need to only see drivers that are arriving to pick up or offloading at delivery.
Open loads by Service Team. Not responsible for FTL loads? Great, just open hot shot runs to have a closer attention to the loads you work on. Read this article to learn how to create service teams.
Monitor loads Assigned to specific group, for example, moved by carriers only.
Use Shipment Alert filter to check on all the problematic loads:
‘Release driver’ - shows all the shipments with units that need to be released by a dispatcher
'Time at Facility > 1h' - shows all the shipments where a driver spent at the facility longer than 1h
‘ETA > Scheduled Time’ - shows all the shipments that have an ETA later than Scheduled Time
‘Unread Messages’ - shows all the shipments that have unread messages.
To access the rest of ivia features & full information about the shipment, click on view icon.
How to: Edit, Communicate, Leave notes, etc.
You can see full information about associated parties like customer, driver, dispatcher or even truck by opening Shipment Details at the upper left corner.
Edit the addresses, times or other load's pieces of information.
Copy (duplicate) the shipment, if you have several identical runs. 🧠New load will appear on Uncovered Shipments tab.
Leave internal Notes for your teammates.
Check on the Logs (who & when made a change to the shipment)
Set Email Notifications to be sent to your customer. Read this article to see all tracking options for your client.
Chat with your driver/carrier/customer. 🧠 You will see different chat icons for each party.
Current location info
If all parties use ivia properly, the status of the shipment will be modified automatically as soon as the driver updates him/her at new stop. If driver didn't update the arrival or departure on the app for some reason, you can always push the Current Status yourself.
ETA highlighted in red will bring your attention to the late orders. 🧠These times are calculated according to google maps data.
Driver's Current Location is being automatically Updated every 2-3 minutes. Keep in mind, if driver closes ivia app, tracking tool will be unavailable. Drivers still can swipe up the app, it is totally ok 😉
Tracking updates for your non-ivia customers
If you need to set up automatic updates to be sent to your customer (in case they don't use ivia), you can do it using Email Notifications button:
Email Location Updates - type as many emails as you need where you want the updates to go. Customer will receive an email with exact location during the intervals you choose.
Email Status Update - life saver in the logistics industry. Save customer's email and they will receive picture of freight, BOL and POD as soon as driver uploads it on ivia. Customer will also receive a notification when driver is on site for PU/DEL.
🧠 If both you and your customer use ivia, no need to set up the updates since customer will see updated information on their side too.
Shipment in transit
The shipment automatically updates when your driver changes status in ivia app. 🧠 Keep in mind, if you work with ivia customer, they will see each update as well. But all the messages between carrier & driver or carrier & broker stay confidential.
As soon as the driver gets loaded/offloaded, he uploads the corresponding documents to ivia (BOL, POD, order list, etc.) and you will be able to review them.
The system will show you and your driver a warning note if driver got loaded and:
There is more than 10% difference in scheduled and actual weight information
There are more or less pieces than was scheduled
Delivery address on BOL does not match to the original one
Make sure you click Release Unit button as soon as the driver is good to go. Driver's app shows him/her a warning message if there are any discrepancies. So, drivers won't be able to do anything with ivia app( = provide you new status updates) until you release them.
When you release the driver from your side, ivia app sends a push-notification to the driver. To see how the app works on driver's side, please see this video.
Completed Shipments
As soon as the driver uploads POD name & file to the app, the shipment automatically moves from Active Shipments to Archive.
There you can find all the shipments that you've done on ivia.
In case you need to access any load info including chats with drivers and customers - use Archive tab.
